Transportation - Taking Care of Guests from outside

Chances are there will be guests coming to the wedding that live quite some distance away from hours away from the houses of the couple or the marriage venue. While one is generally not obligated to pay for any of their extra expenses, except in the case of very close near and dear (depending upon the relationship), it is a nice and thoughtful gesture to help them as much as possible with their travel arrangements and accommodation.


A few ideas for consideration:


Check out the hotels in your area and list a couple of them with good reputations and the different price range. Meet the manager and strike a deal with him in case there are many arriving and needing stay from overnight to a couple of days. A block of rooms could be reserved for the guests at a discounted price. Once it is settled the information on the hotel, its location and directions how to reach there should be sent along with the invitation card.

Also try to keep a diary or create a wedding newsletter early on giving the date of your wedding as well as any other travel information that may be helpful. Informing the guests as early as possible helps them to get cheaper air, train and bus fare and reservations well in time.

If possible arrange for them to be picked up at the train station/bus terminal/airport. Depending on the finances a rental car could meet the guests wherever they are arriving.

A nice gesture, which is greatly appreciated, is providing the guests with transportation to and from the wedding. Many out-of-town guests do not know their way around the city and get confused. A mini bus or van with a driver is rented for the entire day and is kept at the disposal of the guests and any elderly guests.

Arrange with the hotel manager to place small gift baskets in the guests' rooms. Also include fruits, any local "delicacies", bottle of wine or mineral water, tourist information, map and a special thank you from the bride and groom.

Consider inviting them to the rehearsal dinner or a lunch / dinner before the couple leave on the honeymoon and the guests leave to return home. It goes a long way in building lasting relations for the new comers in to the families.
